# **Creekside Kids VBS Guide**

May 30, 2026

---

Hey! You are getting this because you and/or your child is registered to SERVE during VBS week (either at the Family Night, VBS, or Carnival)! This is the final guide on serving at VBS. Please let me know if you have questions after reading it! I know this is long but this is an extensive guide to the entire week. I find that volunteers who read the emails then ask questions tend to know what is coming better than those that only ask me questions. PS. I don't normally use memes in my newsletters, but there are so many good VBS ones. Feel free to send me your favorite ones!

# Purpose & Blessing

VBS is a time honored tradition. But that's not why we do this. We do this because we want to ...

- Proclaim Christ in multiple ways through multiple stories and with our lives and actions as volunteers
- Make Disciples by helping kids experience God in fun, multi sensory ways!
- Glorify God by living as examples of Christ throughout the week even though it may be warm and tiring

**Blessing**: "Romans 10:15 How beautiful are the feet of those who bring good news!" Volunteers at this event are carrying the Gospel (good news of Jesus) and thus are considered beautiful by the Lord. Wear that confidently this week and pray that the Lord protect you from the enemy.

# **Sunday Training:**

# **Small Group Leaders &**

# **Problem Solving Leaders Only**

**Who**: This training is only for those serving in the small group and problem solving leader role on Monday and Tuesday. If you are serving in a different role, I have probably already talked to you or your team leader has reached out to you. If you have no idea what you're doing, let me know.

**What**: Training and light snacks

**When**: Sunday, May 31st after second service (should be about 30-40 minutes)

**Where**: Kids Chapel

**Why**: The small group leaders and problem solving leaders have a specific role and that is shepherding all the kids around on Monday and Tuesday. This meeting will let you know how to handle that role like an expert!! I MAY have shirts available for this role at this meeting.

# Sunday Set Up

If you want to help make sure every final detail is taken care, please either stay after the meeting mentioned above or come back around 3pm. I will put you to work! This is not mandatory, but a way to receive extra heavenly blessings!! FYI. I cannot have just youth show up, so if you have youth please make sure I have a second adult with me for supervision reasons.

# Sunday Night: Family Night

NOT everyone who signed up to serve at VBS is scheduled to serve on Sunday night. Those scheduled for Sunday night received an email specifically asking them to confirm for Sunday. For some, I wanted to make sure your family has someone to do the Family Night with them. For others, I wasn't sure. I do have a couple of spots (including taking dropped off kids through the night; we don't have many) available if you are really wanting to serve on Sunday night.

On Sunday, for volunteer name tags -- you will check into the kiosks with the last four of your phone number. Sheri and her registration team will be shooing people into the auditorium, but if you are serving on Sunday night, they will let you print your name tag at arrival. Families will print their name tags after the opening (this helps us make sure everyone is registered correctly). Volunteers can get their shirts at this event.

**Schedule**:

**5:30pm** - Volunteers start arriving

**5:40pm** - Volunteer prayer huddle in main auditorium

**5:50pm** - doors open for families to enter the auditorium

**6pm** - opening begins

**6:30-8pm** - Family Night -- families will have a passport of activities that will earn them fun and Carnival tickets! Families can wander between all the stations. The stations are not timed, but rather families can wander at their own pacing.

**8pm** - Meet in the auditorium for closing (We may begin a bit earlier if we find families are done with the stations earlier. We have never done this before and I'm not 100% sure of the timing).

# **Monday & Tuesday: Drop Off VBS**

Schedule:

\*Any extra youth/adults that show up to serve will be registered and plugged in as extra hands in grade group levels. They will be expected to be helpful and a blessing to the team (even if it is teaming up with a group or a specific student to keep them engaged with the activities). High school youth CANNOT serve in the games station on these two nights.

**4:45-5:20pm** - We will be offering a small charcuterie type offering for volunteers that need sustenance before taking on 100 kids! This will be offered downstairs in the kitchen.

**5:30pm** - Volunteers should start arriving. Childcare and Junior VBS should be ready to accept kids at this time. ALL volunteers and kids need to check in at the kiosks at the main glass doors. This is how you will get your name tags. I am going to try to arrange to have someone available to keep an eye on volunteer kids until the doors open for all the kids to enter. If you don't have your shirt by this point, you can pick it up now. If you registered after the shirt order, you can borrow an event shirt from us.

**5:40pm** - Volunteer prayer huddle in main auditorium

**5:50pm** - All small group leaders and problem solving leaders should be in their spots in the auditorium. Kids can begin to enter the auditorium.

**6pm** - We begin in the auditorium. Kids will sing, dance, tolerate Elisabeth's opening, and laugh with Elise's sessions.

**6:18-8:10ish** - Kids rotate between all the stations. We have Games, Bible Adventures, Imagination Station, Snacks & Scriptures, and Buddies. The snack ladies are making enough for the volunteers this year. If they don't hit you up with snacks, let me know and I'll set them straight (haha).

**8:10ish** - Kids return to the auditorium for closing. Songs, memory verse competitions, and Elisabeth sharing the Gospel. Tickets for kids will be at their spots when they return on Tuesday night. Group leaders may have to dole out a few more for the night on Tuesday. We will provide the tickets at that time.

**8:30pm** - Sheri and her team handles student check outs. Group leaders should stay until all of their kids are gone. Volunteers should check out with Sheri or another specific person on Tuesday to get their Carnival tickets.

# Tuesday Night: Clean Up

On Tuesday, we will have a master list of things that need to be done to prep the building to be flipped for the Carnival and Sunday usage. **After the closing, we ask that EVERYONE (adult and youth volunteers) stay for at least 15-20 minutes to help tear down. If you can stay longer, BLESS YOU!!**

Every task is pretty short. Station leaders are responsible for their rooms and we will send youth to help you get out sooner too.

Last year, I think it took us about 35 minutes to get the building mostly prepped. This saves us like 100 hours when we all work together. Literally, I love the volunteer that told me this and I love the volunteers that make this happen.

If you borrowed an event shirt and aren't serving on Wednesday, please leave your shirt in the laundry basket somewhere in the lobby so we can wash it and return it to the stash. If you absolutely think you will never wear the Creekside Kids shirt again, please also drop it in the laundry basket and we will gift it to another volunteer.

# Wednesday: Carnival Set Up

We will be setting up from 10am-3pm on Wednesday for the Carnival. If you are able to help, BLESS YOU!! Many hands make light work. We have games and tables to set up! Coffee and Playground is still happening, but a volunteer will host it as I will be at the church setting up.

# Wednesday: Carnival

Get ready for a blast!

**Schedule**:

**5:30pm** - Volunteers should start arriving at this time at the latest (with the few exceptions I've already approved). No charcuterie offering. We will provide a free hot dog meal during the night (delivered to your station by yours truly). Cotton candy and popcorn are free to the volunteers after 7pm. They can be purchased at 6pm with tickets if you cannot wait! Please don't visit food stations earlier unless you are paying with tickets. This allows us to make sure the Cotton Candy Captain, Popcorn Princess, and Hot Dog Master can stockpile for the families attending.

**5:40pm** - Volunteer prayer huddle in main auditorium

**6pm** - Families can start arriving! Families roam the main building, the Kids Chapel, and the main Youth Group space (and we have one outdoor station this year). There is no opening, closing, or order. It's pure family fun and chaos, in the best sense. Stations will have signs that indicate the ticket cost of their station. Tickets can be earned/purchased at the Welcome Desk in the main lobby. If you are running a station and don't know what to do, please ask me!!

\*\*This year, we are following updated mandates from our insurance company. Anybody jumping on the bouncy houses must have a waiver signed by an adult. Youth volunteers are included in that -- they must have a waiver signed that night by an adult.

**8:30pm** - Elisabeth starts turning families into pumpkins. Volunteers are expected to clean up and pack up their stations as best as they can before leaving.

If you borrowed an event shirt, please leave your shirt in the laundry basket somewhere in the lobby so we can wash it and return it to the stash. If you absolutely think you will never wear the Creekside Kids shirt again, please also drop it in the laundry basket and we will gift it to another volunteer.
